About the Role
BEC Arabia is seeking a highly organized and detail-oriented Procurement – Administrative Officer to join our Procurement Department in Riyadh. In this role, you will provide essential administrative and operational support to ensure the seamless execution of procurement activities for our large-scale construction and infrastructure projects. Working closely with procurement managers, project teams, and suppliers, you will help streamline processes, maintain accurate records, and ensure compliance with Saudi regulations.
As part of a fast-paced and collaborative team, you will play a critical role in supporting the procurement of materials, equipment, and services for projects aligned with Saudi Vision 2030. Your contributions will directly impact the timely delivery and cost-efficiency of our projects, which include commercial buildings, residential mega-projects, and government infrastructure initiatives. Key Responsibilities
- Coordinate procurement documentation, including purchase orders, supplier contracts, and delivery schedules, ensuring accuracy and compliance with company policies.
- Monitor and maintain procurement records and databases to ensure up-to-date and accessible information for reporting and audits.
- Assist in the preparation of tender documents and bid evaluations in collaboration with procurement managers.
- Liaise with suppliers and vendors to track order status, resolve discrepancies, and ensure timely delivery of materials and services.
- Support the procurement team in vendor registration and prequalification processes, ensuring adherence to company and regulatory standards.
- Prepare regular reports on procurement activities, including cost analysis, supplier performance, and delivery timelines.
- Ensure compliance with Saudi Labor Law, GOSI, and other regulatory requirements in all procurement-related activities.
- Facilitate communication between procurement, finance, and project teams to ensure alignment on budgets and timelines.
- Maintain organized records of invoices, receipts, and other financial documents for procurement transactions.
- Contribute to the continuous improvement of procurement processes by identifying inefficiencies and proposing solutions.
Required Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- Minimum of 3 years of experience in procurement or administrative roles within the construction or engineering industry.
- Proficiency in ERP systems (e.g., SAP, Oracle) and advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong understanding of Saudi Labor Law and GOSI requirements.
- Excellent organizational and time-management skills with a keen attention to detail.
- Strong communication skills in English; proficiency in Arabic is an advantage.
Preferred Qualifications
- Certification in Procurement and Supply Chain Management (e.g., CIPS, CPSM).
- Experience working on Saudi Vision 2030 giga-projects or similar large-scale initiatives.
- Familiarity with ISO 9001 and ISO 45001 standards.
- Knowledge of Saudi Building Code (SBC) and other local compliance requirements.
- Prior experience with vendor management systems and e-procurement platforms.
Working Conditions
- This is a full-time, office-based role located in Riyadh, Saudi Arabia.
- Standard working hours with occasional overtime to meet project deadlines.
- Minimal travel required within the Kingdom to meet with suppliers or visit project sites.
